Collection and use of personal data from customers, suppliers, and other contractors
We would like to inform you that we will collect and use the personal data you provide to us because this is necessary in order to enter into and perform any agreement with you. This applies both to our (potential) customers and to parties from whom we purchase goods and/or services.
If you are a (potential) customer of ours, we use your data to send you a quotation, to determine which specifications or requirements a particular item or service must meet, to deliver goods or carry out work for you, to invoice you, and to communicate with you smoothly and efficiently about the performance aspects of the agreement.
If you are a (potential) supplier or other contractor, your personal data is also necessary for the conclusion and performance of the agreement. In the case of purchasing, this is necessary in order to inform you of the specifications or requirements that a particular item or service must meet as far as we are concerned, to send a request for quotation or place an order with you, to pay your invoices, and to communicate with you smoothly and efficiently about other aspects of the agreement.
You are not obliged to provide us with your personal data. However, if you do not provide us with any or sufficient personal data, it may not be possible for us to carry out the activities mentioned above.
Disclosure to third parties
In connection with the performance of any agreement with you, it may be necessary for us to provide your personal data to parties that supply us with parts, materials, and products or perform work on our behalf. We also use internal server space for the storage of our sales and purchasing administration, of which your personal data forms a part. In addition, we use Microsoft Office and the associated storage options for e-mails and other files.
Retention period for personal data
Your personal data will not be retained longer than strictly necessary to achieve the purposes for which your data is collected. For all data, we apply a retention period that lasts as long as you are a customer of ours and/or do business with us. If this is not the case, we will delete the data as soon as possible, but will retain it for a number of years for administrative reasons. If you have become a customer of ours or we have become a customer of yours, we will retain your personal data for a period of seven years after the end of the financial year in which the agreement with you has been fully performed. The seven-year period corresponds to the period during which we are required to retain our administration for the tax authorities. After this period has expired, we will delete your personal data.
Your rights
You have the right to ask us to allow you to view your own personal data. If there is reason to do so, you may also ask us to supplement your personal data or to correct inaccuracies. In addition, you have the right to request that your personal data be erased or that the use of your personal data be restricted. You may also object to the collection and use of your data or file a complaint with the Privacy Commission.
